1. Who we are
Go Race Japan is operated by RaceUp Co., Ltd. ("we", "us"), a company registered in Japan.

This policy applies to goracejapan.com and to every race page hosted on it.
2. Two different situations
How we handle your data depends on what you do on this site.
If you only browse race pages — we do not collect personal information about you. We do not require an account and we do not use advertising trackers. If you use the chat assistant on a race page, section 6 applies.
If you enter a race through this site — we collect the information listed in section 3 and pass it to the race organiser, who needs it to run the event. In this situation the organiser is responsible for your data and we act on their instructions, as their service provider.
3. What we collect when you enter a race

What we do not collect
We never see your card details. Payment is handled entirely by Stripe on their own page. Your card number, expiry date and security code never pass through our systems and we have no way to retrieve them. We store only Stripe's reference number for your payment and the amount.
We do not collect your home address. We do not post anything to you. If an organiser needs to ship something you ordered, they will ask you directly at that point.
We do not ask for health or medical information. See section 6.
You do not create an account and there is no password. Entry is guest-based. There is no login credential of yours for anyone to steal.
4. Why we use it
We use your information only to:
- Register your entry with the race organiser
- Send you confirmation and race-day information
- Allow the organiser to produce start lists, bib numbers and results
- Allow the organiser to reach you or your emergency contact on race day
- Answer your questions and pass them to the organiser when we cannot
- Process your payment through Stripe
- Keep accounting records as Japanese law requires
We do not sell your information. We do not use it for advertising. We do not build a marketing list from it.
5. Who we share it with
The race organiser
The organiser of the race you enter receives your entry information. They need it to run the event. Before an organiser can list a race with us, they must agree to our terms covering how they may use and protect your data, and we record which version they agreed to and when.
Every time an organiser downloads a participant list, we record who downloaded it, when, how many entries, and which fields were included. The file itself carries that information in its first line. If that record cannot be written, the download does not happen. There is no such thing as an unlogged export.
Service providers outside Japan
To operate this service we use companies located in the United States. Under Japanese law we must tell you this and obtain your consent, which is why you are asked to agree to this policy when you enter a race.

Race photographs
When an organiser sets up their race page, they upload photographs of the event. Every candidate photograph is sent to Anthropic, PBC in the United States so a lead image can be chosen for the page. These are usually photographs from a previous running of the race, and they may show participants and spectators.
If you appear in a photograph an organiser supplies, that image is processed in the United States as part of building their page. We do not attach names to these photographs, and we do not use them to identify anyone. If you would rather a photograph of you was not used, write to contact@goracejapan.com and we will remove it.
The United States has not been designated by Japan's Personal Information Protection Commission as having a data protection regime equivalent to Japan's. Each of these providers publishes its own privacy practices and maintains its own security measures, which we review before use.
Your entry data itself is stored in Japan. Our database is hosted in the Tokyo region (Supabase, ap-northeast-1). It does not leave Japan at rest.
Nobody else
We do not disclose your information to anyone else unless the law requires it.
6. The chat assistant
Race pages include a chat assistant that answers questions about the event.
We never ask you about your health. The assistant is instructed not to request or discuss medical details, and not to treat them as a reason to escalate.
But please do not type health or medical information into the chat. Whatever you type is saved and is sent to Anthropic in the United States to generate a reply, and may be forwarded to the organiser if we cannot answer it. If you have a medical concern about race day, contact the organiser directly instead.
If we cannot answer your question, it goes to the organiser along with your email address so they can reply to you.
Anthropic also receives the race photographs organisers upload, which is a separate matter from the chat — see section 5.
7. How long we keep it
We do not keep your personal information indefinitely.

Deletion means the field is emptied, not marked or hidden.
One deliberate exception
Records of consent are never deleted. When you agree to this policy, we store the fact that you agreed, your email address, the date, and which version of the text you saw. That record is the only proof that we asked you and that you said yes. Deleting it after 60 days would destroy the evidence that the consent existed, which defeats the purpose of recording it in the first place. It is kept for that reason and no other — it is never used to contact you.
The same applies to our records of who exported participant data and when.
8. Your rights
These rights apply to you wherever you live. We do not make you prove you are covered by a particular country's law before we honour them.
You may ask us to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete your information
- Send you a copy in a machine-readable format
- Stop using your information for a particular purpose
- Withdraw your consent to transfers outside Japan

Two honest limits. If you ask us to delete your entry before the race, the organiser may no longer be able to let you start — we will tell you before acting. And we cannot delete records we are required by Japanese law to keep, such as payment records; we will say so and explain which.
If you are in the EEA or the UK, you also have the right to complain to your national data protection authority. If you are in Japan, you may contact the Personal Information Protection Commission.
9. How we protect it
- All traffic to this site is encrypted
- Access to participant data requires the organiser to log in, and is limited to their own races
- Every export of participant data is recorded and cannot proceed unless that record is written
- Administrative actions on our side are logged
- Card details never enter our systems
- Personal data is stored in Japan
- Personal data is deleted on the schedule in section 7
No system is perfect. If a breach occurs that puts you at risk, we will notify you and the Personal Information Protection Commission as Japanese law requires.
10. Cookies
We use only what is necessary to make the site work — keeping you logged in if you are an organiser. That is the only cookie we set. We do not use advertising or profiling cookies, and we do not sell browsing data.
11. Children
If you are under 18, the entry must be made by a parent or guardian. We do not knowingly collect information from anyone under 18 entering on their own behalf.
12. Changes
If we change this policy in a way that affects you, we will say so on this page and update the date at the top. If the change concerns transfers outside Japan or a new purpose for your data, we will ask for your consent again.
